Our team provides start-to-finish support for all events covered by a Bethel budget number. Event needs vary widely, and so do the kinds of services we offer. Our services are free, and so is the confidence you’ll gain from them.

Getting started

It's never too early (or too late) to contact us! For a new event, or for a recurring one needing a fresh look, our service starts with an intake meeting to hear your ideas and discuss these important starting points:

 

  • Purpose and measurable goals
  • Event content
  • Target audience
  • Budget considerations
  • Possible involvement and support from Admissions, University Advancement, or other campus partners that may have a vested interest

Building your event

Once your event has purpose and shape, we will help you nail down the when, where, and what of your event by creating an EMS reservation that captures:

 

  • Space(s), day, and time
  • Facilities Management requests
  • Sodexo catering requests
  • Security requests
  • A/V requests

We will update and finalize these details during the planning process as needed.

Inviting and promoting

Our event specialists will walk you through various channels for effectively promoting your event to your target audience. This may include:

 

  • Event webpage
  • Registration management
  • Invitation management
  • E-announcements
  • Coordination with the Marketing Office for email invitations, social media messaging, or promotion in Bethel publications

Preparing the welcome

We will assist you in preparing for event-day logistics with an eye toward maximizing your guests’ experience. Services may include:

 

  • Guest communications such as arrival instructions, maps and directions, or local hotels
  • Accessibility requests, special meal requests, reserved parking, overnight parking permits
  • Directional signage (exterior and interior)
  • Welcome banners or signs, easels, Bethel tablecloths, reserved signs
  • Event-day staffing support
  • Post-event evaluation
