Take a look through the steps below to make sure you have everything in place before hiring a student employee.

Post a Campus Job

Submit the student employment job opening form to post on-campus jobs. Your listing will be available to all current students in our job postings list.

Each spring, the Financial Aid office places new freshman and transfer students in jobs for the upcoming fall. Details about this process are sent to all student employee supervisors via email.

If your department doesn't have a job application for students to fill out, you can use this generic job application (pdf) when students inquire about your posting. Supervisors are responsible for keeping these applications.

Submit a Job Description

If you're creating a new position, you must submit a job description to the Office of People and Culture for review. After reviewing the job description, we'll notify you of the position type and rate of pay.

Create an EPAF (Hourly Positions Only)

Supervisors must create an Electronic Personnel Action Form (EPAF) to set up a new student employee in the Banner payroll system.

If you are a new supervisor, you need to attend a mandatory EPAF training session with the student employment coordinator. Please contact the Office of People and Culture at 651.638.6119 or student-employment@bethel.edu to schedule this training session.

Do you need help troubleshooting ERRORS or WARNINGS that are coming up as you are completing EPAFS? Please reference EPAF ERRORS and SOLUTIONS (pdf).

Please note the following dates for EPAFs should fall within the ranges below:
  • School Year 23-24 Job: August 13, 2023 - May 25, 2024
  • Summer 24 Job: May 26, 2024 - August 10, 2024
  • School Year 24-25 Job: August 11, 2024 - May 24, 2025
  • If the job overlaps the summer and school year dates 2 separate EPAFs will need to be submitted  

Lump Sum Payments to Student (formerly Long/Short term stipends)

Most students will still be paid on an hourly basis with a few exceptions. These exceptions will be paid a lump sum payment out of accounts payable. There are three exceptions that are outlined in the Student Employment Compensation Guideline (pdf). Effective February 1st, 2016, we are no longer paying students long or short term stipends. Students receiving a lump sum payment will receive a check in their PO box with in a few business days of the request being approved. If you have any questions about this policy, please contact student-employment@bethel.edu.

  • Lump Sum Payment Request - available February 1st. This request needs to be approved by the student employee coordinator before it is paid.

Review Required Student Forms

There are a number of student employee forms that your student needs to fill out before they can start their new position. If your student has been employed by Bethel before you do not need to resubmit the forms.
